Tips for effective meetings

Previous Activities

The meeting organizer shall define what previous tasks have to be ready before the meeting. You must bear in mind your activities and fulfill them before the appointment.

Arrive or connect on time

Remember this phrase: "If you arrived If you arrived more than 10 minutes early, you arrived on time; if you arrived 10 minutes before, you are late; if you arrived at the hour, you didn't arrive.

Avoid distractions

Your level of attention and participation demonstrates respect in the meetings. Avoid distractions such as mobile phones, noise, email, social networks, and other aspects that are not needed for the meeting.    Visual contact is the direct way to show respect and attention; do it the most time possible. Strive to have the video on in virtual meetings.

Agenda

A meeting with an agenda is a bike without breaks. You have to be clear about the outlines in advance. If you haven't received it, ask for it from the organizer.

Follow the agenda and help ensure it is followed.

There are many topics to discuss, but you shall help and be a guarantor of the meeting focus on the previously defined topics. Leave or ask for a time on the meeting closing to discuss other pending matters.

End up with a briefing

Once finished the time, take into account the meeting shall finish with:

  • Decisions taken.
  • Tasks reviewed/fulfilled.
  • Action bullets and designated persons for the next meeting.
  • Other matters.

Respect

Some topics may turn complicated, but with due respect for the differences, discussions will generate the top value for the whole team. Remember to listen to be listened to be listened to. Watch the language and always think about your words before participating.

Don't take it personal

Not everything is your fault. Remember that we are professionals and shall be able to understand our errors to improve daily. In I2T, we always want you to be the best because you are the most essential part.

Debate

You shall have clear reasons and arguments to support and give solidity to your opinions and ideas. Being open to debate will polish your ideas and become a real jewel. Sometimes, it's hard to accept that the idea was not as good, but learning from the process is invaluable.
